  • Overview

    Serves as first contact for visitors and callers to the Waukesha Corps and performs general office duties.

    Responsibilities

    • Answers all telephone calls in a courteous and professional manner. Transfer all calls to appropriate person. 
    • Takes detailed messages for employees or volunteers when appropriate, and relays messages to employee or volunteers in a timely manner. 
    • Responds to walk-in requests and phone calls by providing proper and complete information regarding services offered at the Corps, including social services. Keeps daily log of phone and window requests and referrals. 
    • Provides referral information as directed.
    • Ensures that all printed material and information shared verbally regarding programs and services offered are the most current information. 
    • Processes all outgoing mail and incoming mail; routes incoming mail to proper recipients. 
    • Assists in preparing and processing all mass mailings for the Corps. 
    • Opens the Corps building in a timely manner to the public daily. 
    • Assists clients and other visitors in finding proper locations in the building. 
    • Prepares signage and flyers for the Corps events and programs as requested. 
    • Orders office supplies and ensures maintenance of office equipment is completed as needed.
    • Supports the Business Administrator and Officer, as well as other office personnel by performing clerical duties such as photocopying, assembling materials, filing, stuffing envelopes, preparing thank-you letters, typing documents and general clerical assistance. 
    • Other duties as assigned. 
    • Uses multi-line switchboard, fax machine, computer, printer, calculator and copier.

    Qualifications

    Education and Experience: 

    • High School Diploma or equivalent 
    • Two years experience in an administrative support role. 

    License and Certifications: N/A 

     

    Knowledge, Skills, and Abilities: 

    • Exceptional customer service skills. 
    • Excellent verbal communication skills. 
    • Good typing and computer skills, including use of e-mail and Microsoft Office. 
    • Skill in using standard office equipment. 
    • Knowledge of office etiquette. 
    • Good organizational skills. 
    • Good grammar and spelling aptitude. 
    • Maintain confidentiality at all times. 
    • Able to work independently.

    The duties of this job will be primarily performed indoors under normal room temperatures. The noise level will generally be low. 

     

    While performing these duties, the employee may have occasional exposure to outdoor weather conditions prevalent at the time. 

     

    At times the duties will involve working around individuals having infectious and/or communicable diseases.
