Overview

 

The Salvation Army is looking for an individual who would like to apply their experience and skills to fill our Administrative Assistant to the EDD position.  This is a full-time 40 hour per week position that comes with a great benefits package which includes medical, dental, and life insurance, 13 paid holidays per year, vacation time, sick time, personal time and is eligible for participation in the company funded pension plan after one year of service.  The starting pay for the Administrative Assistant to the EDD position will be in the range of $19.00 to $21.00 per hour.

 

This position assists with the responsibilities and functions of the office of the Executive Director of Development.  This includes private and confidential matters relating to donors, personnel, programs, and office procedures.  Operates with a high degree of independent judgment, maintains close and highly responsive relationship to daily activities of the Executive Director of Development.  Position is expected to comply with and meet The Salvation Army, Federal, State, and Local policies and standards.

Responsibilities

Essential Duties:

  1. Assist the Executive Director of Development (EDD) in communications to appropriate corps/unit locations personnel within the Midland Division, Divisional Headquarters (DHQ), and Divisional Advisory Organizations.
  2. Serve as point of contact between Development and all other departments, including Community Relations and Development (CRD) at Territorial Headquarters (THQ).
  3. Correspond on behalf of the EDD with both internal and external stakeholders: board members, officers, staff, volunteers, community members, and clients.
  4. Coordinate meetings, plan, and execute special projects as assigned by EDD.
  5. Attend meetings, take meeting minutes when needed, and prepare final minutes upon review of supervisor.
  6. Manage and maintain EDD schedule. Assist with preparing and oversight of the pre and post meeting actions.
  7. Manage EDD calendar, filing system, travel arrangements, committees, attendance, etc.
  8. Support EDD in organizing various projects and campaigns.
  9. Serve as member of EDD’s leadership team, anticipate topics for biweekly leadership team meetings, obtain topic documents from team members in advance, prepare agenda, docs, etc.
  10. Compile agenda and order breakfast for monthly full departmental meetings.
  11. Monitor email, phone, cleanup files, etc., of EDD’s leadership team member when position becomes vacant.
  12. Procure and prepare onboarding materials for new departmental employees, interfacing with IT, maintenance, HR, et al to ensure office space and relevant equipment is ready for new hire’s first day of employment.
  13. Craft and update inventory of office furnishings, equipment (including laptops and phones), etc. for whole department.
  14. Prepare invoices, reimbursement requests, reports, memos, letters, and other documents, using WORD, EXCEL spreadsheet, database, and Power Point presentation software.
  15. Compose letters, cards and other correspondence for signature and distribution with little oversight.
  16. Professionally handle incoming/outgoing calls & correspondence with a high degree of confidentiality.
  17. Work in cooperation with other development department team members and provide administrative support, as needed.
  18. Establish and maintain effective working relationships with employees, other agencies, and the public.
  19. Greet Officers, public officials, business leaders, board members, volunteers, donors, and general public professionally.
  20. Perform other special projects as needed.
  21. Maintain confidentiality and comply with Safe From Harm guidelines.
  22. Maintain positive work atmosphere by behaving and communicating in a manner that fosters good relationships with clients, co-workers and supervisors.
  23. Fill in at front desk reception area and mail room when needed.
  24. Order flowers by occasion, name badges, name plaques, Corps supplies through Trade Central.
  25. Check and distribute department mail (Mailbox #2).

Qualifications

Minimum Qualifications: 

  • Bachelor’s Degree and two (2) years’ work-related experience as Executive Secretary/Administrative Assistant or combination of training and experience will be considered.  Project coordination and event planning experience important.

Required:

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint) and E-Mail (Outlook and Teams experience a plus).

  • Hyper-organized and hard-working.
  • Ability to work proactively on several projects at the same time with minimum supervision.
  • Excellent verbal and written communication skills.

  • Must be willing to continue education and learn new computer applications, as needed.
  • Proficient with typical office equipment.

Preferred:

  • Adobe Acrobat DC, Microsoft Project, Salesforce, and Blackbaud experience.

Physical and Work Environment Requirements

  • Must be capable of performing the above essential duties in an office environment to include: using a computer, answering phones, etc. 
  • Most work will be indoors in a temperature-controlled environment.  Work requires frequent use of computer terminal and other office equipment.  Requires long periods of sitting, and close visual examination of computer products. 
  • There may be some standing, bending, carrying of light items such as papers, books and small packages.  Position is occasionally expected to help set up rooms for meetings and special events.
