Overview

 

How would you like to join a movement focused on "doing the most good"?  The Salvation Army Midtown Service and Treatment Center is looking for a highly dependable, organized, detail oriented applicant to fill its full-time Business Clerk position.  This position comes with a great benefits package including medical, dental, and life insurance, 11 paid holidays a year, vacation time, sick time, personal time and is eligible for participation in the company funded pension plan after one year of service. The starting pay is $12.61 per hour.

 

This position provides general clerical assistance for the Office Manager and Executive Director in the areas of Accounting, Billing, Human Resource, general office functions, and general clerical assistance to the Corps Officer, and Assistant Corps Officer.

Responsibilities

Accounting:

  1. Process routine revenues (receipting), accounts payable and ledgers.  File accounting records.  
  2. Process mail, including pickup and delivery.  Responsible for composing and tracking donor thank you letters.

Billing:

  1. Utilize CIMOR, EHR (CREDIBLE) and programs or technology to manage invoicing, payments and other billing functions for treatment services.
  2. Conduct pre-billing audits on a weekly basis.  Notify clinical staff of errors that need to be addressed pre/post billing.
  3. Reconcile billed services with payments from vendors.  
  4. Assist with collection, documentation and securing payments received on site from clients via cash, check or electronic payments (credit cards, etc).
  5. Assist with performing daily and monthly audits on all services provided by the Program Staff. Provide weekly updates and monthly reports to direct supervisor.
  6. Communicate with out-sourced biller regarding services to be batched for billing on a daily, weekly, monthly basis.
  7. Be familiar with required contract compliance items, notifying supervisor of any discrepancies or problems.

Human Resources:

  1. Assist Office Manager in maintaining employee attendance and personnel records.  Assist in the preparation of hiring and termination packets.
  2. Assist in maintaining and updating personnel files, and in developing and maintaining a personnel file document tracking form.  General filing and correspondence in matters relating to personnel.

General Office:

  1. Maintain general files in accordance with Salvation Army policy.
  2. Assist Office Manager in ordering, stocking, dispersing, and tracking usage of all office supplies.
  3. Assist Office Manager, Executive Director, and Corps Officers in processing volunteer / donor correspondence and maintaining a database of volunteers / donors.
  4. Provide clerical support in other areas as assigned by the Executive Director.
  5. Perform interim coverage in the absence of the Business Clerk or the Business Administrator.
  6. Attend weekly or bi-weekly staff meetings, per department procedures.  Maintain confidentiality.
  7. Maintain positive work atmosphere by behaving and communicating in a manner that fosters good relationships with clients, co-workers and supervisors. This includes, but is not limited to, such actions as: resolution of conflicts in a professional manner; courteous treatment of staff, visitors and clients; respect of others’ property and person; and professional and appropriate communication to and about clients, co-workers and supervisors.

Qualifications

A minimum of High School diploma/GED with one-year clerical and/or accounting experience.  Combination of training and experience will be considered.  Proficient in computer spreadsheet software, word processing and LAN experience is a plus.  Good communication & organizational skills.  Must be capable of constructing and routing correspondence with little supervision.  Must be a self-starter and team player.  Requires high level of confidentiality.  Must be bondable.
